What actually gets an invoice paid

Clarity, mostly. A unique invoice number, a date, terms stated in plain words, and line items the client can match against what they agreed to. Vague descriptions invite questions, and every question adds a week.

Write the due date out rather than relying on net thirty being understood the same way by both sides. It is interpreted differently more often than you would expect — from the invoice date, from receipt, from the end of the month.

State how to pay you

A surprising share of late payments are invoices sitting on a desk while someone works out how to process them. Put the payment method and the details needed to use it on the invoice itself, not in the email it was attached to.

Late fees work

Whatever your contract says, and it should say something. Even a modest late fee stated upfront changes how promptly an invoice moves through an accounts department, because it gives someone a reason to prioritise it.

Split the payments

For anything substantial: a deposit to start, one or more staged payments, and a balance on delivery. It protects both sides and keeps cash flow sane — invoicing everything on completion means carrying the project yourself.

Numbering

Sequentially, without gaps, and never reuse a number. Many tax authorities expect this, and it makes your own reconciliation far easier at year end.

Practical notes

Check what your jurisdiction requires — particularly around tax registration numbers. An invoice missing a required field gets rejected by an accounts department without explanation.

This produces the document; it does not track what has been paid. Keep your own record. Print to PDF from the browser, and check the layout once before sending — an invoice that prints badly reflects on the work it is billing for.
